Executive Assistant to the CAO and Council

Due to a long-term employee retirement, Lethbridge County has an exciting full-time opportunity for an Executive Assistant.  Reporting to a dynamic Chief Administrative Officer (CAO) this position will be involved in all administrative aspects of County business to support the CAO and Council.

Are you organized, efficient and always looking for ways to improve processes and systems?  Are you technically savvy with strong English and writing skills? Do you understand the importance of confidentiality and political acumen?  Do you have 5 years of related progressive experience in local government, supported by a 2-year post secondary program? Suitable combinations of education and experience may be considered.

Key position responsibilities and skills include:

  • Prepare comprehensive Council Agendas and attend and take meetings minutes on a bi-weekly basis. Review and ensure all reports are approved on time and consolidate Agenda package for distribution to all relevant stakeholders.  Experience with iCompass software would be an asset.  
  • Complete Council Minutes ensuring resolutions are processed properly and compile resolutions in Action Tracker.  This role maintains and updates files and record systems of Council minutes, policies, by-laws and other correspondence.
  • Prepare correspondence on behalf of Reeve/CAO, to individuals/organizations.
  • Administrative and scheduling support for the CAO and follow-up with general public on any County inquiries.    Triage all incoming external and internal correspondence, ensuring it is passed along to the correct contact.  Strong organization and record keeping skills are required.
  • Process credit card payments of the Reeve, Council and CAO.  Calculates expense claims in alignment with County Policy for review and sign off and submits to accounts payable.
  • Arrange travel plans, set up meetings, draft agendas and correspondence, order and pick up food or supplies as required for Council and CAO events.   
  • Perform a variety of other related duties included in job description and as assigned or required.
  • Additional training and skills for the role include ICS training, Freedom of Information and Protection of Privacy (FOIP) training, Returning Officer training and Commissioner of Oaths.
